Full time, Home based in Costa Rica

In this role you will prepare and complete all final billings and monthly requirements for the Strategic Meetings Management ( SMM ) client.

They ensure the financials for each meeting are managed in a timely, accurate and compliant manner. The PA is also responsible for Life Science specific reporting (ToV) as required by the client.

Project Accountant will communicate with vendors and project teams to collect receipts and program expense documentation as well as resolve outstanding payments and clarify issues related to program expenses and assist in monthly reconciliation of programs for ToV reporting.

A snapshot of this opportunity

  • Review invoices for accuracy, applied discounts and completeness
  • Process payments for invoices in a timely manner
  • Meeting budget reconciliation, utilizing multiple systems
  • Meeting financial close out within the allocated timeline as dictated by the client
  • Identify any financial discrepancies and work with the Meeting Manager to solve
  • Transfer of Value (TOV) reporting, ensuring all meal and other caps are adhered to and that the information is reported according to published timelines
  • Prepare final billing according to client policies and internal procedures.
  • Copy and provide client with all necessary backup and documentation in a timely manner.
  • Reconcile and verify food & beverage receipts and hotel bills and other supplier invoices for accuracy by comparing information to contractual terms and negotiated items.
  • Resolve any discrepancies with suppliers and clients.
  • Document all information on final bills for data consolidation.
  • Ensure timely and accurate Savings Analysis.
  • Adhere to all standard operating procedures and train staff on appropriate company billing policies and guidelines.
  • Assist in monthly invoice preparation
  • Oversee and research credit card reconciliation.
  • Act as commission liaison including tracking and collections.
  • Perform audit and file close out procedures on every meeting.
  • Knowledge of accounting basics and revenue financial analysis.
  • How can you set yourself apart

  • Life Science industry experience a plus
  • Previous accounting experience in A / P, A / R, and client billing is
  • Bachelor or Associates Degree in accounting or related field
  • Proficient in Microsoft Office Suite
  • PeopleSoft experience a plus
  • Accounting software experience
  • Travel industry / hotel experience a plus
