Job Summary
Reporting to the Director of Advancement Services, the Data and Gift Analyst is a member of a high-performing and centralized gift administration team in the department of Advancement and Campaign Operations.
The Data and Gift Analyst acts as the liaison to process gift contributions as well as high-profile donations received by the university.
The incumbent successfully records, maintains, receipts and documents a collection of philanthropic contributions in accordance with IRS regulations and university policies.
The Data and Gift Analyst works with fundraisers and donors on a regular basis to provide proper handling and processing of gift transactions, including matching gifts from corporations and foundations.
The Data and Gift Analyst works directly with donors to answer questions about their gifts. The incumbent must be a thoughtful and articulate representative of the university in order to ensure the campus credibility with donors is established and maintained.
Key Responsibilities
Monitor communication requests relevant to specialized gifts and high-profile donations
Review and coordinate regularly with the Director to ensure gift agreements meet the requirements for processing into the donor database
Assists the Director with the production of pledge reminders and other projects as assigned
Manage donors’ charitable gifts receipting for Tower Foundation, relative to gifts received by all areas of the university, including Financial Aid, Associated Students, Athletics and provides communications related to these activities.
Record critical data using Advance to produce official tax receipts and related documentation for donors on behalf of the university
Research and resolve donor related questions or issues on gift receipting (cash, check, credit card, equipment, services
Develop gift batches (deposit summaries) from colleges and / or departments fundraising efforts. Review, interpret and verify donor(s) intentions.
Deposits funds to account(s) in accordance with the stated account purpose. Create and execute required auditable documentation from gift entry correction (journal voucher, memorandum, and gift or pledge batch adjustment
Work with Tower Foundation’s Accounting Services to track and confirm CashNet donations are allocated correctly
Monitor and track all gift-in-kind transactions and perform the appropriate data entry to the database
Follow up with departmental, facilities, computer center and property representatives to ensure in-kind donations receive the appropriate attention and approval before being formally accepted by the university
Process and enter matching gifts from individuals, corporations, and foundations for a potential match ensuring accuracy and data integrity
Ensure that gifts are in accordance with corporations matching guidelines and University policies, including transferring of funds into appropriate accounts and monitoring all matching gift activities for the University
Knowledge, Skills & Abilities
Ability to learn or experience knowledge of Charitable Giving policies and procedures based on IRS, University, California State University, (CSU) Chancellor’s Office, Government Accounting Standards, Board / Financial Accounting Standards, Board (GASB / FASB), and CASE standards
Thorough knowledge of governmental financial recordkeeping methods
Ability to develop partnerships with internal and external constituents and use discretion and collaboration to communicate effectively and diplomatically in a professional and courteous manner
Ability to function as a member of the team
Ability to apply independently a wide variety of regulations, policies and procedures where specific guidelines or historical perspective may not exist
Ability to manage multiple deadlines and effectively organize the workflow of others to meet the competing deadlines
Advanced proficiency in Microsoft Office and ability to work with Databases
Ability to solve common and unique problem using reasoning and judgment to develop practical, thorough, and creative solutions
Ability to perform accurately in a detail-oriented environment
Required Qualifications
Bachelor's degree and / or equivalent training
Two years of administrative work experience involving study, analysis, and / or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs
Preferred Qualifications
Excellent written communication skills in a customer service environment
Advanced proficiency in Microsoft Office and experience working with Databases
Experience working in a fast-paced detail-oriented environment
Experience applying processes related to charitable giving, preferably for an institution of higher education
Compensation
Classification : Administrative Analyst / Specialist Exempt I
Anticipated Hiring Range : $5,000 / month - $5,500 / month
CSU Salary Range : $3,897 / month - $7,051 / month
