ABOUT THE OPPORTUNITY

Reporting to the Costa Rica Site lead, the Office Operations Support uses their innovation skills to contribute to the achievement of the Local Facilities team by providing support and coordination of services.

They interact with all levels of employees to assist with any facility-related items and work closely with the Costa Rica Support team to ensure critical site infrastructures are running smoothly and effectively.

They are responsible for ensuring compliance with all health and safety requirements for the site. They are a member of the Costa Rica Health and Safety Team and will act as a first responder in emergencies.

They will ensure all site repair requests or requirements are logged and handled promptly while ensuring operational activities and occupants are disturbed as little as possible.

Responsibilities :

  • Responsible for site operational duties such as coordinationof preventative maintenance, service calls, coordination of office moves, new hire set-ups, security, access control.
  • Responsible for daily building audits and assuring site is ready for day-to-day operations.
  • Accountable for the facility ticket system, ensuring that customer's needs are adequately addressed, tickets are assigned to correct individuals / teams and updated regularly.
  • Point of contact for vendors and building staff.
  • Coordinates the tasks of technicians maintaining the facility and office equipment.
  • Set-up conference / training rooms for meetings & company events.
  • Orders / stocks breakroom & copy room supplies.
  • Move office furniture & equipment as needed.
  • Responsible for Purchasing submittals and ordering office supplies.
  • Assist with Health and Safety, emergency response & business continuity planning, and supporting EHS third-party provider.
  • Assist with Facility Procedure Manual updates.
  • Coordinates with responsible parties regarding sites information and posting updates.
  • Supports data entry, document formatting, generating reports.
  • Assists with employee events, organization of business meetings, catering & special events.
  • Perform front desk responsibilities during COVID-19 Pandemic.
  • Assists Wind River employees with inquiries or assistance.
  • Helps with any additional Facilities or operations responsibilities.
  • Regular Equipment audits supporting the FTZ Team and asset management.
  • Accepts and signs on behalf of the Site Manager for packages delivered that are subject to VAN / TICA. Enters data in the government website for packages received.
  • Gives packages to the appropriate party.

  • Responsible for the tracking / logging for incoming and outgoing packages, letters.
  • Assists with special projects as assigned.
  • Qualifications :

  • Minimum of 3 years administrative experience in a professional office environment.
  • High school diploma or equivalent.
  • Experience in building management is preferred.
  • Knowledge of Health and Safety as it relates to Office spaces is preferred.
  • Proficiency with MS Office (Outlook, Excel, Word, PowerPoint).
  • Strong understanding of standard business practices and finances and experience promoting process improvement.
  • Excellent verbal and written communication skills.
  • Strong organizational, interpersonal, problem-solving, and analytical skills; able to manage priorities and workflow.
  • Demonstrates a high level of professionalism in dealing with confidential and sensitive issues.
  • Strong at problem-solving and a self-starter.
  • Ability to handle competing priorities and meet deadlines.
  • Demonstrates a high level of professionalism.
