Global Real Estate & Facilities Program Manager

As a member of the Global Real Estate & Facilities (GREF) team overseeing corporate office space globally - this position will be responsible for supporting office services program management focused on continuous improvement (transportation, cafeteria, signage, mail services, reception and visitor experience) and assume personal ownership for measuring performance and driving continuous improvement with GREF's global vendors.

The successful candidate must operate as a true partner to local business leaders, finance, HR, IT, Procurement and other functional areas.

He / she must be comfortable operating on both the strategic and tactical levels, simultaneously acting as an internal ambassador, educator, analyst, solutions architect, and implementer.

Having passion and in-depth knowledge of vendor management, property management, facilities management with a financial focus, is critical.

This individual must also have experience developing, implementing and managing a number of scalable programs simultaneously.

The optimal candidate is an experienced and vibrant professional who will excel within an entrepreneurial culture providing vision, leadership, and communication but not afraid to dive into details.

He / she should have proven analytical capabilities and project management skills, great attention to detail, and the ability to effectively prioritize and multi-task.

He / she must have the ability to navigate priorities within their team and identify solutions in difficult situations. He / she should also understand how to escalate effectively and understand the balance between short-term results vs. long-term value.

The role will be based in San Jose, Costa Rica and will include travel to Latam Countries.

Responsibilities :

  • Directly manage multiple national vendors to deliver standardized, consistent office services across all corporate offices in Latam
  • Drive strategy and direction for all programs consistent with global program guidelines and vision; think globally, execute locally
  • Execute on programmatic strategy leveraging vendor partners and cross functional teams
  • Build scalable program guidelines, processes and procedures
  • Further develops standards and procedures as business and customer needs evolve
  • Oversee and improve programs in the following areas; employee experience, performance analytics & reporting, vendor management, operations management
  • Promote the use of data and analytics to analyze customer satisfaction trends and drive next generation program initiatives and experiences.
  • Responsible for gathering information for special projects requirements. Develop and maintain communication at all levels across the organization to facilitate smooth and effective delivery of new business units and intake projects.
  • Collaborate with cross-functional partners such as FM, HR, IT, Corporate Security, EH&S, and Business Continuity
  • Earn trust and maintain open, positive relationships with regional Facilities Managers and business leaders.
  • Conducts regular, formal assessments of all programs & services and develops solutions for systemic deficiencies.
  • Collaborate with global peers to ensure consistency, lessons learned, and best practices across regions.
  • Create, innovate and implement a relevant system of metrics to plan, manage, measure and evaluate performance pertaining to different projects
  • Drive key projects and initiatives, effectively communicate expectations, requirements and status of deals to key business partners both internal and external
  • Continually assess and improve real estate delivery timeline including transportation, cafeteria and others
  • Prepare and present high level presentations and analysis summaries to senior business and real estate managers
  • Identify, define, and execute on customer feedback
  • Closely collaborate with Amazon operations, legal, finance, treasury, capacity planning, economic development, transportation and engineering groups to deliver highly successful projects
  • Establish an overall vendor performance management (VPM) strategy
  • Create a metrics driven vendor scorecard in alignment with GREF’s vision and goals
  • Develop performance criteria and expectations to clearly measure vendor performance
  • Develop an evaluation method and identify technology / tools required to collect, monitor and measure performance in support of the overall VPM strategy
  • Gather performance data on a regular cadence and measure against the established performance goals
  • Prepare results monthly, quarterly, and / or as developed in alignment with the VPM strategy
  • Partner with internal business owners, vendors and other stakeholders to set improvement goals.
  • Continue to evaluate the VPM strategy, performance criteria, reporting cadence / method to evolve the program and drive continuous improvement
  • Maintain the global view of vendor relationships, activities and issues, provide single POC for Executive Leadership Team and internal partners
  • Maintain a real time view of current situation, historical view and supporting facts and data related to vendor performance

  • Bachelor's degree in Industrial Engineering, Operations Management, Finance / Real Estate, Business, Accounting, or related field
  • 5+ years of experience managing cross-functional projects and programs in process definition, having taken a process from concept to execution
  • Prior experience in a Program Management or Project Management role
  • Program Management experience showing ability to organize tasks, prioritize competing demands, find solutions, and follow through to successful conclusions
  • Ability to effectively communicate Amazon requirements to various audiences (e.g. senior management, peers, public officials, vendors, etc.)
  • A track record of delivering high quality projects in an atmosphere where speed, flexibility, frugality and heavy workload are the expected norm.
  • Strong interpersonal skills, including written and oral communication skills
  • Comfort with ambiguity and an ability to work independently

  • Proven ability to define and execute change strategies.
  • Previous experience working with cross-functional teams to dive deep and find solutions to complex problems.
  • Exceptional communication skills; ability to lead cross-functional teams through influence, advice, and modeled behavior versus micromanagement;
  • excellent interpersonal skills; calm under pressure, able to de-escalate and effectively manage escalations at all levels of the company.

  • A track record of championing speed, flexibility and frugality in the face of rapid change and extremely heavy workload.
  • Comfortable with legal terms and structures for standard commercial contracts.
  • Advanced skills in all Microsoft products.
  • Strong ability to identify and solve ambiguous problems & learn new skills.
  • Proven self-starter with strong organizational skills, capacity to prioritize, sets aggressive goals and consistently delivers results.
  • Demonstrated ability to think strategically and successfully execute tactics.
  • Effective resource management and project management skills.
