Job Summary
The Graduate Admissions & Program Evaluations (GAPE) office at San Jose State University supports the academic mission of the University and collaboratively works with the campus and external community to enhance student success.
The Graduate Programs Evaluator performs duties under general supervision of the Director for the GAPE Office and receives work lead direction from the area lead, but works independently to perform general tasks and assignments related to admissions, advancement to candidacy, and graduation with emphasis on evaluation verification and processing.
The objective in all interactions is to provide information regarding policies and procedures, to suggest actions that will resolve issues, and to establish cordial and collegial relationships with those contacting the Office of Graduate Admissions and Program Evaluations.
Key Responsibilities
Implement business processes for each application and graduation cycle, and relay appropriate feedback about processes to efficiently meet demands and specified timelines, including, but not limited to : acting as primary role with admissions, candidacy, and graduation processing for graduate, certificate, and credential students.
Assess domestic and international students’ academic documents to determine eligibility and clearance for admissions, assist students and support department advisors in appropriate appeal processes, provide workshops, and advise applicants on requirements via one-on-one meetings, phone and e-mail communications, and outreach activities with on and off campus constituents.
Follow business processes for each application cycle, and relay appropriate feedback on processes to meet demands and specified timelines, including, but not limited to : the admission application evaluation processing for graduate, certificate, and / or credential students.
Assess domestic and international student’s academic documents to determine admission eligibility for graduate programs and advancement to candidacy.
Interpret and explain policies to students and their families as well as provide clarification on policies and procedures to other SJSU offices and representatives from other institutions that have questions.
Apply CSU policies and procedures as expressed in federal, state, and applicable Chancellor’s Office executive orders as well as SJSU’s academic policies and procedures to individual admission evaluation situations.
Evaluate and process, in a timely manner, applications for graduation for graduate students. Verify and evaluate documents for admission, advancement to candidacy and graduation for the GAPE Office.
Knowledge, Skills & Abilities
General knowledge of research and interview techniques; and of the principles of individual and group behavior
Ability to interpret and apply program rules and regulations; use initiative and resourcefulness in planning work assignments and in implementing long-range program improvements
Ability to advise students individually and in groups on routine matters where required
Ability to maintain confidentiality and appropriately handle sensitive communications with students, parents, employees and external agencies
Ability to reason logically; collect, compile, analyze, and evaluate data and make verbal or written presentations based on data
Ability to recognize multicultural, multi-gendered, and multi-aged value systems and work accordingly
Ability to establish and maintain cooperative working relationships with faculty, CSU administrators, student organizations, private and public agencies and others in committee work, and student advising and community contacts
Knowledge of technology and software applications such as : word processing, spreadsheet, database management, and communication tools
Ability to rapidly acquire a general knowledge of the overall operation, functions and programs of the campus
Ability to handle multiple work priorities, organize and plan work and projects
Ability to identify conflict, problem solve, and resolve student problems and concerns in the most efficient manner possible
Required Qualifications
Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration or a job-related field
Two years of professional experience in one of the student services program areas or in a related field. A master’s degree in a job-related field may be substituted for one year of the professional experience
License
A valid driver's license is required for this position. Out of state candidates selected for the position must obtain a State of California driver's license within 10 days of hire in accordance with the California Department of Motor Vehicles regulations.
Once hired the employee must successfully complete the Defensive Driver Training Program provided by the State of California for California State University campuses.
Preferred Qualifications
1-2 terms of additional post-secondary coursework after completion of a bachelor’s degree
Experience directly working in a higher education enrollment services environment, admissions, records, and / or evaluations with high exposure to graduate students

Anticipated Hiring Range : $4,334 / month - $4,668 / month
Salary Range : $4,304 / month - $6,120 / month
