The Opportunity

We are seeking an Executive Assistant to support the VP Treasurer, VP Assistant Treasurer and the wider treasury team. The ideal candidate will have an extreme attention to detail as well as the ability to multi-task and juggle priorities.

Role will be based out of our San Jose office.

What you'll Do

  • Calendar and meeting management / schedulingCoordinate closely with VP Treasurer and VP Assistant Treasurer on calendaring, making independent and proactive decisions on priorities, and resolving conflicts.
  • Liaise with both internal and external Adobe business partners for scheduling and meeting requests.Maintain organization charts, Outlook mailing lists and other department wide support.

  • Monitor and communicate Adobe updates and events that impact department such as changes to software used, facilities or security updates, for all locations where department members are located.
  • Manage daily meeting logistics, including booking conference rooms, presentation equipment, and catering as applicable.
  • Manage large periodic insurance, banking and rating agency meeting logistics including communication, invitations, confirming external speakers, technical support logistics and compiling shared PowerPoint presentations.

  • Provide support to Treasury Operations team by assisting with KYC (Know Your Customer) processes.Gain understanding of Adobe’s legal entity structure and related paralegal support resources.
  • Proactively update and maintain organized files of entity support required by Adobe’ banking partners.

  • Support Finance and Operations team events, quarter end catering, team volunteer activities, offsites.
  • Coordinate new hire logistics for the Treasury organization, working with Facilities team when needed for seating requirements, working with IT on computer equipment, and overall onboarding support.
  • Provide travel planning support for both domestic and international travel. Includes booking air travel, hotel, ground transportation and other travel logistics.
  • Process business expense reimbursement requests, and treasury P.O.s and invoices.

  • Extremely organized with ability to juggle multiple / complex demands, from the mundane to more strategic, in a fast-paced environment
  • Work effectively with minimal direction, takes initiative, and follows through consistently

  • Excellent communication skills verbal and written
  • Assertive, proactive, motivated, flexible, adaptable, enjoys challenges, and applies the 'whatever it takes' attitude

  • Remains calm under pressure with strong executive presence
  • Treat colleagues and customers in a manner which demonstrates integrity, honesty and fairness
  • Sense of humor and ability to work enthusiastically across organizations and with diverse personalities
  • Requirements

  • Bachelor's Degree or equivalent work experience
  • Minimum of 8-10 years of experience as Executive Assistant
  • Highly proficient in Microsoft Outlook email and calendaring
  • Proficient with Microsoft Office (Teams, Word, Excel, PowerPoint)
  • Proficient with Concur a plus
  • Reliable and accessible. Available in the office during normal working hours and outside of normal hours, if needed
  • Ability to use the utmost discretion when dealing with sensitive and confidential material
  • Current Notary Public or willingness to become one a plus
