It's time for you to Make It at Mondelēz International.Mondelēz International is looking for vacancy : Recruiting Administrator Position Purpose Support the Recruiting process by working closely with the Recruiter, Hiring Manager, Candidate and third party vendors to complete interview scheduling and the onboarding process of new hires for LA for salaried positions. Main Responsibilities
Create requisition request for professional and hourly employees based in the information and job description provided by the Hiring Managers
Schedules logistics for onsite, phone and virtual interviews for external and internal candidates, Besides travel and accommodations if needed (no frequent)
Use case management tool to follow up on Hiring Managers requisition requests up to completion
Execution of the onboarding process via Taleo and work with a Third party vendors to make sure the candidate's background check is compliant against the Mondelez internal policies
Follow up with candidate to provide supportive documentation and signed contractual documentation needed for hiring
Supports Early Careers administration such as career fair logistics, school job postings and University Recruiting Team activities.
Keep constant communication with vendors regarding background check progress and escalate cases to leadership as needed
Contacts new-hire and manager with onboarding instructions, and monitors Taleo for background check completion with vendors
Coordinate pre-day 1 activities with Hiring Manager and communicate the day 1 logistics to the new hire
Contacts new-hire and manager with onboarding instructions, and monitors Taleo for background check completion and pre-day 1 activities
Complete new hire's personnel e-file
Processes referral bonus for Mondelez employees
Provides instructions for reimbursement at the time of interview, reviews receipts and claim form before submitting for payment, and communicates claim status
Processes sign-on bonuses for new hires or promotions as needed
Responsible for data completeness of new hire records in Taleo to prevent downstream data issues in our HR systems
Provide guidance and track the accuracy of the new hires information in SHARP system to make sure payment will be processed correctly, besides guiding Hiring Manager on how to request updates if needed
Support the dispatch of the tickets, New hires laptop requests, and conversion of contractor to employees’ process
High School Diploma required
University Degree or currently Studying (Bussiness Admin, Psicology preferred)
Spanish and English (Advanced or Bilingual Level).Portuguese is required .
Experience in administrative / coordination or HR administration or customer service experience (2 years, preferred)
Experience working in a virtual environment using supporting systems (Example : Case Management tools, Taleo, SHARP, Virtual chats, etc.) preferred.
Experience in Recruitment coordination and logistics processes (preferred)
Strong customer service orientation
Process improvement culture
Ability to handle complex tasks and logistical challenges
Attention to detail
Strong prioritization skills
Excellent time management & written / verbal communication skills
Availability to coordinate with different parties including external vendors
Expertise working under pressure and high volume of work
