We are looking for an experienced Executive Assistant for our new Operations team based in Costa Rica. This exciting role requires superior attention to detail, great organizational skills, the ability to meet tight deadlines and juggle multiple critical requests.

The successful candidate will possess the ability to complete tasks and projects quickly with little to no guidance, switch gears at a moment's notice, and take effective action without always knowing the full picture.

The ideal candidate should demonstrate stakeholder management since this role requires coordination with internal customers, vendors and network and country peers.

A high level of integrity and discretion in handling confidential information, and professionalism in dealing

Key job responsibilities

The Operations Executive Assistant is responsible for coordinating and executing administrative site functions for CXQO Virtual and physical sites.

  • Proactively coordinate and engage with leadership in planning and organizing events, activities and calendars, managing complex scheduling requirements.
  • Coordinating executive team meetings and events Coordinate key team activities such as staff meeting agendas, Skip-level sessions and All-hands meeting.
  • Managing OU and / or Sr Site Leader agenda.
  • Maintains the official Site Wikis and Calendars.
  • Work with other Admins / Assistants throughout the team and across the rest of the network and act as POC for country wide activities with other Amazon organizations.
  • Handles confidential information with discretion, and deal with professionals inside and outside the company.
  • Executes Site level budget for engagement activities, managing all the logistic process from planning until on time delivery for Brick and Mortar / Virtual employees.
  • Support planning and logistics to drive the Rewards and Recognition of the CXQO Site.
  • Set up vendors and services quotes and purchases partner with the Accounts Payable team to ensure timely payment of invoices.
  • Keeps control of inventory of goodies, prizes and Swags.
  • Manages site level Expense reporting.
  • Conducts regular audits and cost analysis of supplies and shipping options.
  • Supports and enforce all corporate and departmental policies and procedures pertaining to these functions, to include P-card and travel expense policies and procedures.
  • Supports tactical execution of Communication strategy at CXQO country level under direction of Site leader and Operation managers : campaigns, newsletters and site communication channels.
  • Manages all tactical logistics to support the Engagement Committee calendar ensuring timely delivery and quality within budget.
  • ie : Celebrations, Holidays.

  • Prepares and compiles information related to Site level surveys that act as input for initiatives and feedback collection.
  • Travel support and arrangement for site management, to include account and itinerary setup for traveler, and per diem requests for site staff.
  • Keep track of site visitors, support with logistics coordination, and organizing international visitors’ agendas.
  • Support and / or resolve facility issues as needed. Communicate and document facility needs to the Facilities Coordinator or Manager.
  • Support and / or attend weekly meetings with janitorial vendor and address issues as they arise.

  • Partners closely with Recruitment, Onboarding, Training and IT to guarantee on-time shipment of equipment for virtual teams.
  • Keeps control of IT equipment allocated for the Organization and places Purchase orders when required.
  • Keeps track all of equipment recall and inverse logistics as per Local Free trade zone Compliance regulation
  • Partner with Global Security for the administration of badging and building access as needed.
  • Work with Operations, Human Resources and Occupational Health & Safety to identify needs of the CXQO site.
