Job Summary

The Undergraduate Admissions Program Specialist works independently under general supervision of the Director of Undergraduate Admissions and Outreach to support San José State University’s commitment to increase online access to higher education for working adult learners, particularly focusing on providing students from historically underserved communities with opportunities to advance their education and obtain their degree.

The Specialist is responsible for serving as the point of contact for SJSU Online Enrollment Counselors and for the evaluation and verification of prospective and applicant online learners.

In compliance with university and CSU policies, the Specialist performs complex student services professional work within a centralized admissions environment to determine student applicants’ admissibility to the University, including all processes related to admission evaluation, processing and posting of transfer credit for special sessions programs.

The Specialist also provides admission workshops and summative reporting for these online populations, and may serve as a liaison to a number of on-campus departments as well as external partners.

The Specialist may assist the unit during peak process periods to evaluate and verify freshmen, transfer and post-bac applicants for CSU and SJSU admission eligibility and transfer credit for applicants and admitted students

Key Responsibilities

  • Verifies and processes academic records; transcripts for transfer credits and advanced standing credits that are valid toward transfer and / or graduation requirements.
  • Reviews, assesses and evaluates all SJSU Online applicants’ documentation and records to determine eligibility for admissions.
  • Provides admission evaluation to determine SJSU Online applicant initial eligibility.
  • Works towards streamlining transfer credit evaluations processes, in collaboration with other department processes.
  • Utilizes and updates student administration database system (CMS), document retention system (On-Base) and FileMaker Pro to determine remaining requirements or outstanding documents.
  • Creates and presents reports regarding applications, admission, enrollment, denials, withdrawals, appeals and student success regarding these specific populations.
  • Assists the Undergraduate Admissions regular department processing during peak process periods with evaluations for admission, posting transfer credit of transfers and frosh regular session applicants.
  • Knowledge, Skills & Abilities

  • Ability to provide timely and accurate responses, manage multiple priorities and track decisions.
  • Maintains confidentiality and handles sensitive communications with students, parents, staff, faculty and external agencies.
  • Utilizes or learns to utilize CMS for record keeping and to retrieve information.
  • Uses technical databases and programs for word documents, databases, communication tools, spreadsheets, etc.
  • Ability to develop and lead presentations and workshops.
  • Strong oral and written communication skills.
  • Must possess excellent customer service and public relations skills.
  • Ability to collect, compile, analyze, and evaluate data and make verbal or written presentations based on these data.
  • Ability to advise students individually and in groups on routine matters where required.
  • Ability to compose and appropriately format correspondence and reports.
  • Knowledge of technology and software applications such as : word processing, spreadsheet, database management, and communication tools.
  • Ability to learn PeopleSoft.

  • Ability to perform accurately in a detail-oriented environment. Must plan and execute multiple work priorities, organize and plan work and projects.
  • Ability to identify conflict, problem solve, and resolve student problems and concerns in the most efficient manner possible.
  • Required Qualifications

  • Equivalent to graduation from a four-year college or university in a related field, including or supplemented by upper division or graduate coursework in counseling techniques, interviewing, and conflict resolution where such are job-related.
  • Three years of progressively responsible professional student services work experience. A master’s degree in Counseling, Clinical Psychology, Social Work, or a directly related field may be substituted for one year of experience.
  • A doctorate degree and the appropriate internship or clinical training in counseling or guidance may be substituted for the three years of experience for positions with a major responsibility for professional career or personal counseling.

    Preferred Qualifications

  • Experience working in Admissions or Records environment.
  • Experience in communicating admissions and / or student services policies and procedures to community college, university or high school constituents.

    Classification : Student Services Professional III

    Anticipated Hiring Range : $4,691 / month - $4,750 / month

    CSU Hiring Range : $4,691 / month - $6,683 / month

    Satisfactory completion of a background check (including a criminal records check) is required for employment. SJSU will issue a contingent offer of employment to the selected candidate, which may be rescinded if the background check reveals disqualifying information, and / or it is discovered that the candidate knowingly withheld or falsified information.

    Failure to satisfactorily complete the background check may affect the continued employment of a current CSU employee who was offered the position on a contingent basis.

    The standard background check includes : criminal check, employment and education verification. Depending on the position, a motor vehicle and / or credit check may be required.
