This is an entry level position that requires a balance of attention to details and speed.

Primary functions include data entry and processing of quotes, orders, and related activities and requests.

The Data Entry Clerk will be working with multiple systems that he or she needs to update timely and accurately.

He or she will be in contact with internal customer care personnels Responsibilities Data Entry and Processing :

  • Receive and process customer request for quote and orders.
  • Using the established standards, check that all information supplied by the customer is correct and complete to ensure the customer receives the product they need and at the time they need it.
  • Accurately upload, enter, and book order in business systems.
  • Accurately upload and enter quote' / proposals in the business systems.
  • Send quote to the internal / external customers, as required.

  • Contact internal customer care personnnel to gather information required to resolve quote and order issues or to collect missing information at the data entry stage.
  • As required, coordinate with the other deparments / groups, personnel and technical subject matter experts to have them review and validate the technical requirements of the customer's purchase order or request for quotation.
  • Maintain updated customer information in Flow business systems and other databases.
  • Collect and save needed documentation to ensure compliance with Flow record retention and documentation procedures.

  • Assist other customer care personnel with correction of order and quote entry errors.
  • Process, Systems & Tools :

  • Maintain proficiency and utilize all of Flow business systems required to enter and process quotes and orders.
  • Maintain accurate records of all activities related to orders and quotes from receipt of the purchanse orders (PO) and request for quotation (RFQ) to process completion.
  • Understand and implement all aspects of the organization's document retention procedures.

  • Understand and consistently apply Flow commercial policies and business practices related to quote and order entry process · Ensure compliance with import / export, contract and government requirements.
  • Screen orders and quotes for compliance with the business unit Terms and Conditions and standards.

    Job Knowledge & Teamwork :

  • Understand basics of Flow products, model numbers, and price list.
  • Understand and follow established processes in accurate data entry and process hand-off.
  • Perform other duties as required.
  • Requirements · Education :

    High School diploma is required.

  • Experience :
  • Customer service, data entry experience, or other related experience is preferred.

  • Solid keyboard skills and a strong proficiency for using Windows & MS Office applications is a must.
  • English proficieny should be enough to accurately understand documents, instructions, and communication in English.
  • Competencies needed to be successful in this role :
  • Customer Focus, Time Management, and Learning on the Fly · Must demonstrate proactive communication and attention to details.

  • Must be able to work well in a close team setting and to follow North America shift schedules.
