Job Summary

Reporting to the Senior Director of Online Recruitment, the Online Recruitment Coordinator will support San José State University’s commitment to increase online access to higher education for working adult learners, particularly focusing on providing students from historically underserved communities with opportunities to advance their education and obtain their degree.

The Coordinator provides enrollment policy guidance for SJSU Online degrees and programs to the Enrollment Counselor team.

The Coordinator is responsible for building a student-centered dynamic within the enrollment counselor team and identifying and resolving issues related to student experience.

The coordinator will also maintain and oversee enrollment operations and work in conjunction with university information technology and customer relationship management and reporting (CRM) staff to ensure functionality of all recruitment systems and workflows.

The coordinator will lead the daily tasks for the Enrollment Counselors and offer support and guidance to Enrollment Counselors to ensure a positive enrollment lifecycle for prospective students.

Key Responsibilities

  • Holds weekly meetings with Enrollment Counselors to set daily tasks, establish short- and long-term goals, review recorded class, accomplish such things as tracking Enrollment Counselors’ pipelines, addressing trends and issues proactively, identifying training opportunities, and laying out weekly goals
  • Coordinates the resolution to any systematic issues with CRM and Dialer Technology
  • Ensures accuracy and consistency in communication directed to prospective students through systems
  • Engages in weekly meetings with data coordinator to discuss lead quality and trends / updates
  • Serves as primary contact for addressing questions from staff, and inquiries / requests concerning prospective student issues
  • Ensures proper trending for starts and adjusting focuses, as necessary, to ensure the unit meets University enrollment expectations
  • Tracks and presents enrollment trends (internal / external) and conversion data
  • Coordinates the formal and informal recruitment intake processes for Online Recruitment
  • Provides outreach for various groups of students in various stages
  • Supports Enrollment Counselors with daily tasks
  • Provides Coaching for Enrollment Counselors, using a Tell, Show, Do model
  • Performs functions associated with the Enrollment Counselor role, especially early in SJSU Online's development
  • Through an inbound and outbound call center, provide excellent customer service to prospective students throughout the full admission recruitment process primarily via telephone
  • Maintains prospective student records in SJSU Online databases
  • Makes recommendations to manager in enhance student recruitment lifecycle
  • Helps enrollment counselors manage a prospective student pipeline to ensure appropriate student follow-up is taking place
  • Knowledge, Skills & Abilities

  • Knowledge of Customer Relations Management (CRM) platforms and / or call center technologies (e.g., Salesforce, Genesys, Five9)
  • Strong organizational, time management, analytical, and interpersonal skills
  • Well-developed oral and written communication skills
  • Ability to develop and implement strategic planning and outcome driven assessment efforts
  • Excellent customer service and public relations skills
  • Ability to handle multiple work priorities, organize and plan work and projects
  • Ability to advise students individually or in groups on routine matters, and general knowledge of principles of individual and group behavior
  • Ability to effectively train and advise staff
  • Required Qualifications

  • Equivalent to graduation from a four-year college or university in a related field, including or supplemented by upper division or graduate coursework in counseling techniques, interviewing, and conflict resolution where such are job-related
  • Three years of progressively responsible professional student services work experience. A master’s degree in Counseling, Clinical Psychology, Social Work, or a directly related field may be substituted for one year of experience.
  • A doctorate degree and the appropriate internship or clinical training in counseling or guidance may be substituted for the three years of experience for positions with a major responsibility for professional career or personal counseling.

    Preferred Qualifications

  • At least three years of experience working with students in a higher education online recruitment / enrollment setting
  • Two plus years of experience coaching or mentoring others
  • Experience working with non-traditional students
  • Compensation

    Classification : Student Services Professional III

    Anticipated Hiring Range : $4,750 / month - $5,180 / month

    CSU Hiring Range : $4,691 / month - $6,683 / month
