Job Description

The People Development Project Manager will be a member of a dynamic and global HR team reporting directly to the VP of Global People Development.

You will collaborate with various team members and leaders across the organization with a specific focus on driving big impactful leadership projects / events / programs from a project management perspective.

  • Global Leadership ForumDrive the full project / program management including strategy, goals, and objectives in consultation with various teams for the bi-annual forum that invites over a thousand of VMware’s top leaders and executivesManage various vendors, stakeholders, customers, and business units to ensure project alignmentEstablish and run formalized processes, roles and responsibilities, team meetings and agendas, and accountability across all project team members and business units
  • Provide support for other large, cross-functional, development driven projects on an ad hoc basis
  • New cross-functional projects including HR programs with a learning and development component
  • Key Job Responsibilities Include :

    Project Management

  • Support all phases of projects from inception through completion. Partner with various teams to ensure full coordination, reporting, and alignment on projects.
  • Scope overall project needs & goals. Establish milestones and monitors adherence to master plans and schedules, identify project problems and obtain solutions.
  • Act as primary contact for project activities. Lead meetings to discuss resources, schedule and progress.
  • Document all project materials including requirements, processes, decision logs, action items, testing, etc.
  • Maintain project collaboration sites (such as MS Teams / Groups) and associated documentation.
  • Train and mentor team admin on specific task work to support projects.
  • Communications

  • Create and distribute multi-level communication and status reports (core team, extended team, leadership team).
  • Partner with stakeholders and internal communications team to ensure key messages are constantly pulled through with all aspects of training, comms, web content etc.
  • for all audience segments

    Stakeholder Partnership & Customer Focus

  • Liaise effectively with stakeholders across several business units including Global People Development, Communications, Marketing, IT, AV and Events, HR Leadership Team, and the VMware Executive Team
  • Identify the roles of each stakeholder and business unit to ensure all team members are aware of their responsibilities and how it relates to the larger objective
  • Tap into both internal and external experts, stakeholders, and vendors to shape project requirements
  • Design and facilitate cross-functional project meetings, working sessions, and post program reviews
  • Project Analysis & Recommendations

  • Gather and analyze information expeditiously; synthesize answers, create presentations, develop project plans / milestones, monitor adherence to timelines, identify project problems and obtains solutions.
  • Manage project budget and related processes when applicable.
  • Requirements :

  • Bachelor’s Degree or equivalent experience
  • Deep experience managing projects ideally for a global, large company
  • Strong coordination / organisational skills to manage meetings, prepare meeting agendas and minutes, follow-up on action items
  • Extensive Change Management experience
  • Experience creating presentations, status reports, roadmap decks, process and procedures and flow charts.
  • Advanced skills in Microsoft Office tools including PowerPoint, Excel, Word, Teams, and Project
  • Ability to thrive in a fast-paced environment where multi-tasking and prioritizing is necessary.
  • Self-starter, team player, proactive with excellent verbal and written communication skills.
  • Skill to facilitate large, complex groups effectively
  • Able to dig in and figure out the details, yet roll it all up to an easy to understand team and Executive level
  • Ability to connect the dots between functions and processes in terms of broader business implications, including tactical, strategic, and enterprise dependencies, with an awareness of the up / downstream requirements
  • Very well-organized and obsessed with attention to detail
