To assist the Site Director and other Directors / Managers in administrative duties following established procedures and prioritized by the incumbent s immediate supervisor.
The beneficiary of this position works following instructions and established procedures. The jobs assigned are varied in nature and demand high capacity of organization, time management, coordination and proactivity.
Must demonstrate and maintain initiative to perform the duties while maintaining positive relationships with co-workers and stakeholders under the values of Respect, Responsiveness and Results.
Errors, delays and other failures could affect Volcano s Costa Rica image and first impression from Customers, Executives and other stakeholders both internal and external.
Occasionally it will be required to work overtime.
You are responsible for
Write and submit Executive and other reports in English or Spanish with the periodicity established.
Prepare and assist in putting together Executive presentations for the Site Director and other functions as required by this position s supervisor.
Accurately translate to the English language and vice-versa for administrative and technical documents in an efficient manner.
Organize and / or assist in the organization and coordination of various types of meetings from weekly staff meetings to large corporate Events.
Prepare and manage appointments agenda, meetings and others and keep the Directors and other functions to be indicated up to date about them.
Arrange all traveling plans of the company s traveling staff and obtain the necessary approval as required by the Site Director.
Under certain circumstances the approval can be obtained from the Finance or HR Directors copying the Site Director. This includes among others, making travel reservations, tickets distribution, car and hotel reservations, etc.
Also, should assist in travel related items from visitors such as : car rental, tour arrangements, bank procedures, etc.
Receive, sort, review, record, distribute and follow up on mail, reports and other documents daily.
Issue letters to the U.S. and other embassies to request Visa for Volcano’s employees in Costa Rica traveling for business related purposes.

REQUIREMENTS : EDUCATION :
Executive Assistant or Bilingual Secretary Title from a recognized entity.
KNOWLEDGE AND EXPERIENCE :
4 years of experience as Bilingual Executive Assistant
LICENSES AND CERTIFICATIONS :
English Language from a Bilingual Technical School or High School.
ADDITIONAL DESIRABLE QUALIFICATIONS :
Desirable Driving License B-1
Desirable Good Filing Practices

SKILLS AND ABILITIES : Punctuality
Ability to maintain confidentiality and discretionally
