Position Purpose & SummaryProvide administrative support to the Cargill’s CBS Costa Rica Leadership team as needed. Support includes meeting planning and coordination, meeting minutes and follow ups, managing calendars, travel coordination, expenses control and reimbursements and meeting presentations.
Additionally, this role also includes, executing, driving and deploying center projects and initiatives such as center committees, assisting with preparation and day-to-day administration of budget and coordinating presentation materials from multiple sources.
This position works closely with the other Administrative Assistants and provides back-up support as needed.Principal Accountabilities30% Drives local employee engagement with the Cargill committees
Acts as a lead partner to CBS’s committees in order to ensure effective alignment of HR partnership with strategic organizational objectives.
Has a clear understanding and knowledge of business operations, culture and goals.
Monitor engagement activities according monthly programming
Lead special events, including fairs, committee meetings and others
Maintain relationships with external organizations around training, activities or others
Manage the guidelines for internal communication regarding Committees activities
Maintain a close relationship with the Corporate Areas to drive any initiative for the center. 30% Responsible for Communications support
Lead communication efforts in support of CBS San Jose strategy, including developing communication plan in collaboration with the Committees, HR and Center Administrative teams.
Create communication content in support of communication plan for designated audience and leveraging preferred channel of communication for the center.
Engage with functions to capture success stories, support functional event and communication needs.
Support Center leader in creating various content to support communication to various parties (CBS employees, stakeholders or partners).25% PM initiatives
Lead execution of projects and initiatives while enable and foster CBS Center Strategy
Facilitate periodic project reviews
Support communication of strategic vision (leveraging different channels such as : videos, oral and written communication, news letters, giant prints, coffee talks, among others)15% Responsible for CBS Administrative support
Perform administrative processes : applies basic knowledge to perform moderately complex, routine to varied administrative work steps within established procedures and processes related to the delivery of operational / functional services for individuals and / or work group.
Coordinate logistics / events : plans, coordinates, and ensures logistics arrangements for moderately complex, varied to routine meetings and travel.
Receive, relay and respond to internal / external customers inquiries : receives and relays messages as well as responds to varied to routine administrative requests.
Bachelor’s degree in Administration, Project Management, Education, Information Technology or similar degree.
Minimum of 3-5 years’ experience assisting at the senior leadership level in a fast-paced environment.
Proficient in Outlook, MS Office (Outlook, Excel, Word, PowerPoint) and communication software (Adobe Suit).
Strong presentation skills with demonstrated ability to influence at all levels of management through clear, informed and logical discussions / presentations.
Advanced English level B2+

2 years of Jr. Project Management experience, demonstrating knowledge of PM.
