Transportation, Logistics & Mailroom Specialist
We are looking for a TRANSPORTATION, LOGISTICS & MAILROOM SPECIALIST to be incorporated through JLL to our client team, a MULTINATIONAL TECHNOLOGY COMPANY .
Zone : San José, Costa Rica. Schedule : Monday to Friday, 8 : 00 am to 5 : 00 pm.
The position is responsible for managing a third-party staff, full and / or part-time employees within the areas of Mailroom, Parking and Transportation services.
The objective of this role is to continuously improve the processes to reduce cost, enhance savings and improve occupant experience.
The key responsibilities are to ensure compliance with approved SOPs for each service provided. If IFM member identifies discrepancies between SOP implementation and coherent applicability, must escalate to update or implement local variances in SOP.
Collaborates with Host & Reception to ensure great occupant experience in mail, courier, logistics and FTZ services, for example, sending and receiving incoming mail.
Ensures incoming inventory is clear and complies with buyer’s requirements. Stores and / or delivers the goods to the buyer in compliance with agreed SLAs.
Ensure all incoming mail is sorted correctly and ensure effective distribution to intended recipients.Correctly log incoming packages with company software / online tools.
Responsible for organization and cleanliness of mailroom, shipping and receiving areas.Assists with asset tracking function and all related activities.
Inspects personal packages and courier deliveries as required to ensure proper record of personal assets entering the free trade zone via guests and collaboratorsIdentify insights from data to enhance customer experience.
Provide operational service reporting on a daily, weekly, monthly, quarterly and annual basis.Provides visibility and work as One Team with client stakeholders to ensure a seamless experience before, during and after the project execution.
Ensures compliance with SOPs for all Customer Experience contracted services, identifies and includes all variations applicable per site.
Validates all provider invoices related to soft services submitted for payment are appropriate and consistent with the client expenditure authorization limits and compliance guidelines.
Continuously identifies ways in which service can be improved and value for money can be enhanced. Communicates innovations and cost savings ideas to RE&F.
Works in coordination with Ops Supervisor and CX&C team to plan and execute activities related to environmental sustainability.
Bachelor's degree in Industrial engineering, Operations engineering, Business Administration, Logistics or related.Two years of experience in mailroom management, operations management, logistics management, courier management, transportation management.
Experience working with Microsoft Dynamics is desirable.Ability to speak Fluid English.
