Job Summary

Reporting to the Director of Innovation, the Innovation Programs Coordinator provides program and administrative support to the Office of Innovation in building and growing the SJSU innovation enterprise.

The Coordinator applies a high degree of judgment, discretion, and initiative in planning, coordinating, and administering projects and events.

The Coordinator also implements the communication strategy for the Office of Innovation and, as needed, for the broader Division of Research and Innovation.

The Coordinator facilitates special projects and events, researches and prepares correspondence for the Office of Innovation, and ensures the accuracy and timely performance of programs.

The Coordinator conducts research, analyzes data, handles information requests, and prepares reports.

Key Responsibilities

  • Organizes meetings, conference calls, projects, activities, and inquiries for Office of Innovation programs including assistance to the Small Business Development Center
  • Collaborates with a broad campus network of faculty, offices and departments to plan their involvement in Office of Innovation programs / initiatives
  • Analyzes, develops & implements administrative systems to support Office of Innovation programs and initiatives including the University Grants Academy
  • Provides analytical support for proposals and reports as needed to support the Office of Innovation operations
  • Arranges travel for Office of Innovation, including managing go-card and pro-card purchases, and stays within assigned budgets for travel.
  • Manages budgets for events and travel, responsible for timely reconciliation of go-card and pro-card in SJSU Financial System
  • Manages and executes projects for the Office of Innovation including support to the SBDC program and other programs, coordinating with other campus offices and units, including Research Foundation, Tower Foundation, Strategic Communications, the Provost Office, and the Silicon Valley Center for Entrepreneurship
  • Leads and coordinates all the functions related to Office of Innovation internal and external events
  • Knowledge, Skills & Abilities

  • Advanced skills in Microsoft Office suite software (Word, Excel, and PowerPoint, Visio, Project, Google Apps), web content management systems (WCMS), Info Ready and task management software like Monday
  • Understanding of general website architectures, and the ability to change and maintain the Division’s website
  • Expertise in investigating and analyzing problems with a broad administrative impact and implications
  • Ability to prioritize, organize and balance a heavy workload with a high level of productivity, proficiency, and precision
  • Ability to act as a liaison for staff and management team to identify, develop and nurture staff / management relationships
  • Collaboration, consultative, and teambuilding skills to work effectively with all levels of the organization
  • Required Qualifications

  • A bachelor's degree and / or equivalent training
  • Four years of administrative work experience involving study, analysis, and / or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs
  • Preferred Qualifications

  • Communications and / or marketing-related certificate
  • Project Management certificate
  • Four years of related office work experience
  • Event and project organization experience
  • Experience maintaining website or social media content and using various software in an administrative and project management capacity
  • Experience using spreadsheets as an organizational tool
  • Experience with purchasing and reimbursement processes
  • Experience with Innovation programs including Intellectual Property Management, Research Business Partnerships, and / or Entrepreneurship and startup programs
  • Compensation

    Classification : Administrative Analyst / Specialist Exempt II

    Anticipated Hiring Range : $5,900 / month - $6,600 / month

    CSU Hiring Range : $4,693 / month - $8,489 / month
