Job Summary

Provide high-level administrative support by conducting research, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.

The incumbent presents a professional image of the company when receiving visitors and answering calls. Control for access to the company, and making notes and necessary controls.

Perform diversified, confidential duties and projects supporting the General Manager and other Managers / Supervisors.

Manage schedule, arrange appointments, travel, meetings, conference calls, etc. Duties require broad and comprehensive experience, skill and knowledge of organization policies and practices.


  • Greet visitors and determine whether they should be given access to specific individuals.
  • Manage and maintain General Manager schedule.
  • Keep the assistance records of outsource or contractor workers
  • Open, sort, and distribute incoming correspondence, including faxes and email.
  • Answer phone calls and direct calls to appropriate parties or take messages.
  • Prepare responses to correspondence containing routine inquiries.
  • Perform general office duties, such as ordering supplies, maintaining records management database systems, and performing basic bookkeeping work.
  • File and retrieve corporate documents, records, and reports.
  • Provide clerical support to other departments.
  • Attend meetings to record minutes. Compile, transcribe, and distribute minutes of meetings.
  • Elaborate the reports of incidents and delays.
  • Reviews Visitor Log Book at the end of every business day to ensure all visitors have signed out.
  • Performs a wide range of administrative, project and general support duties of a highly responsible and confidential nature.
  • Prepare agendas and plan, such as coordinating catering for luncheons, for committee, and other meetings. Schedule and arranges meetings and conferences rooms as need it.
  • Answers routine to complex questions, performing research as needed.
  • Update information in communication blackboards / bulletin boards.
  • Works closely with Human Resources on annual HR processes.
  • Supports special projects / initiatives when needed (board meetings, annual conference planning, and others).
  • Perform other duties as assigned.
  • QUALIFICATIONS (Education / Training, Experience and Certifications)

  • Technical degree in Business Administration, or equivalent experience.
  • Typically requires 2 to 3 years of applicable experience.
  • English knowledge intermediate level
  • 2+ year experience in a sales, distribution or pharmaceutical industry, preferred
  • KNOWLEDGE SKILLS AND ABILITIES (Those necessary to perform the job competently)

  • Experienced in writing and composing correspondence, collecting data, and preparing reports. Proofreading skills and attention to detail required
  • Thorough knowledge of administrative practices and procedures; knowledge of protocol desirable
  • Excellent communication skills (written and spoken) and interpersonal skills
  • Excellent organizational skills with the ability to manage numerous tasks and projects simultaneously. Flexibility and demonstrated skills in managing shifting priorities
  • Team oriented and self-motivated with the ability to work in a fast-paced, high-volume environment
  • Intermediate Computer Skills (presentation and spreadsheets)
  • Driver’s license preferred

    Typically works in an office with adequate lighting and ventilation and a normal range of temperature and noise level. Work assignments are diversified.

    Examples of past precedent are used to resolve work problems. New alternatives may be developed to resolve problems. A frequent volume of work and deadlines impose strain on routine basis.

    Minimal physical effort is required. Work is mostly sedentary but does require walking, standing, bending, reaching, lifting or carrying objects that typically weigh less than 25 lbs.

    However, the incumbent may visit customer warehouse or laboratory areas, where he / she can be exposed to chemical, burns and other hazards if appropriate protective measures are not taken.
