CWT Meetings & Events is seeking for a Reconciliation Specialist. This position owns the commission collection process for M&E which includes operations, venue sourcing for designated clients and dedicated clients within Strategic Meetings Management (SMM).
Oversee commissions collection process for operations, venue sourcing and dedicated client accounts. This includes 50% dedication to one specific account.
Maintain current SOPs for the Commission Collection Specialist role as well as client specific commission collection SOPs
Ability to learn and work in CVENT, both client and CWT instances and any other technology tool that is required for position
Continually look for process and operating efficiencies for commission collection process
Liaise with sourcing specialists, meeting planners and / or management on outstanding commissions and questions relating to commission tracking or collection
Send Request for Payments to hotels and venues for commission
Follow up on outstanding commissions as outlined in SOPs
Liaise with Finance and / or review applicable reports to confirm when commission payments are received and posted
Assist Finance with commission coding back to correct account
Review to ensure proper IATAs for commission collection are used and correct when not
Follow all processes and procedures in the NORAM Ops Manual
Work toward establishing an SLA of 80% collected in 90 days of event operation
Maintain workload records to be able to Identify outstanding commissions across M&E NORAM business
Research and resolve any conflicting results (vendor invoice paid but funds not located)
Follow through CWT process for any adjustments needed due to mis-postings
Time track on all programs
Reconcile budget in Cvent upon receipt of final invoice from vendors. Yearly reconciliation by CWT region. This applies to account where the Commission Collection Specialist is 50% dedicated.
Minimum one year of experience in a financial role.
Bachelor’s degree preferred
Cvent knowledge a plus
Proficiency in Microsoft office suite. Advanced experience in Excel.
Ability to build and maintain strong business relationships with internal customers
Strong multi-tasker who works well under pressure
Ability to assist / support / educate colleagues with finance and process questions
Exceptional organizational skills and detail oriented
Excellent verbal and written communication skills
