The Workplace Experience Specialist supports the Workplace Experience team in developing and implementing a top tier Calix experience.

From supporting our executive team meetings to engaging with employee’s day to day needs the Workplace Experience Specialist is an important position that helps reinforce Calix culture and values.

This role is for a person who can act quickly to solve problems, be a friendly face to those that need help and be an ambassador of Calix’s culture to everyone who comes onsite in San Jose.

Responsibilities :

Workplace Experience Programs

  • Plan and implement meals for executive and large team meetings at the San Jose site
  • Work with the site Workplace Lead to develop a standard for snack and beverage programs, office supplies, and equipment
  • Assist with food and beverage programming for San Jose Campus and special events.
  • Provide front desk support in San Jose when needed
  • Work with vendors to ensure timely delivery and tracking of employee anniversary gifts including budget oversight
  • Distribute New Hire Swag
  • Manage office party planning
  • Organize catering and setup for the company’s quarterly all hands meetings
  • Vendor Management and Office Support

  • Coordinate with the Accounts Payable department to generate purchase orders for approved vendors
  • Develop and maintain vendor relationships (office supplies, food and beverage, etc).
  • Periodically assess vendor terms and conditions to determine when we should rebid services to ensure competitive pricing
  • Help iterate on site budgets for offices supplies, services, and food / beverage programs.
  • Sort mail and distribute to employees
  • Administration of trouble ticket tool
  • Generate and complete business card orders for new employees
  • Professional work experience in an office or workplace office support role
  • Strong organizational skills, detail-oriented, and ability to handle multiple and changing priorities in fast-paced office environment
  • Excellent written and oral communication skills
  • Passion for being a creative and positive problem solver
  • Ability to triage requests and problems in a fast-paced office
  • Experience collaborating with all levels of the organization, from management and employees to vendors / contractors
  • Experience with Microsoft Office, Concur, Oracle Cloud, and other office administration software is a plus
