The Position

Who you are :

Your responsibilities will align with your executives charter, organization, and priorities including oversight of routine matters for a key leaders office.

You are able to execute your core admin responsibilities independently and exceed expectations with relative ease. You are a confident decision-maker, able to resolve a wide range of issues in creative ways.

You proactively anticipate the needs of your executive to become a dependable resource. You help drive your managers orgs interests and priorities, partner with key stakeholders, be a reliable resource and valued member of the Engineering organization and Leadership team, as well as Twitters Admin team.

You possess a natural curiosity to build a strong knowledge of the Operations organizations business and Twitter and keep your finger on the pulse of the team.

You may support additional managers as required.

Responsibilities :

  • Engages in work as prescribed by Twitter and Admin Function "How We Work" protocols. Acts as a Go-to resource for the team and org
  • Calendaring : Meeting scheduling. Ability to optimize for location and travel times. Proactive resolution of calendar conflicts.
  • Calendar is maintained in an orderly and clear manner with respect to discretion and confidentiality. Ability to resolve calendar conflicts using understanding of company, team, structure and priorities.

    Assure all required information for meetings are populated in a calendar invite. Provide daily monitoring of calendar and flagging conflicts for resolution in a timely manner.

  • Travel : Planning, coordinating, and booking of domestic and international travel, including flights, accommodations, car, and train, while adhering to prescribed T&E policies.
  • Works with T&E Team, Concur, or Amex to resolve issues. Coordinates travel and bookings utilizing and applying understanding of managers preferences and programs for travel.
  • Ability to align calendar and travel to resolve or escalate conflicts. Maintains awareness of external factors that could impact travel and be prepared to address them.

    Exercises good judgement in the coordination of travel, taking into account travel & layover times, time zones, proximities, standards of facilities, and ease of travel.

  • Expenses : Completes and submits expense reports as prescribed by T&E policy utilizing Concur in a timely manner. Facilitates expense approvals on behalf of the manager as appropriate.
  • Actively resolves expense issues with T&E Team, Concur, or Amex to resolve issues. Submits and tracks invoices. Works with procurement teams as needed.

  • Meeting Support : Supports meeting logistics including calendaring. May also support facilitation, meeting materials, agenda, notes / follow ups, and supplemental needs, live streaming / recording or IT support as needed.
  • Assists in the planning of All Hands with key stakeholders.

  • Leadership Meetings : Attends meetings to take notes and follow-ups for managers.
  • Admin Functional Support : Works with the admin team to support broader team, site, org, company level initiatives and events.
  • Actively partners with the Admin Team to respond and resolve requests in a timely manner. Provides back up support to other Admins in their org or to the broader admin team.

    Fosters an inclusive, positive, and cohesive Admin team culture. Support Admins on their team to execute large meetings, all hands, and broader team initiatives and events to ensure all are executed on time, achieve their stated objectives, and within budget.

    Provides support for ancillary one-off requests from broader org within reason.

  • Communications : Creation and maintenance of relevant email and slack groups.
  • Cultural Initiatives : Maintain and contribute to Twitter culture through direct impact and engagement with Chicago Tweeps.
  • Help us scale our engagement programs locally on the ground through the support of local activities and initiatives. Fostering our #LoveWhereYouWork culture, including key celebrations.

    i.e. annual holidays, new hires, Twitterversaries, birthdays). You will be the go-to source of cultural information for local Tweeps in your office.

  • Events : Logistical support and planning of (Twitter) internal & external team events and activities (offsites, meals, milestone & quarterly team activities, seasonal celebrations).
  • Assist in the project planning of offsites and events with the management team including logistics coordination and vendor management.

    Awareness and knowledge of where to obtain or reference relevant information in order to comply with policy and stay within budget.

    May facilitate signatures and approvals for contracts and coordinate invoice payments.

  • Space Planning : Supports organization and preparation of space planning and move activities as needed. Drives workstream with context and foresight.
  • Coordinates with REW regarding any move support or communication regarding space changes or concerns. Utilizes REW process to support seating and moves as prescribed.

    Qualifications

  • Specialist. Typically 3-4+ years of related experience or specialized knowledge and skills in a senior operational or support role.
  • OR with similar relevant experience.

  • Has a full understanding of the administrative area. Able to resolve a wide range of issues in creative ways. Exceeds expectations with relative ease.
  • Ability to independently work problems of diverse scope where analysis requires evaluation of identifiable factors. Demonstrates good judgement in selecting methods and techniques for obtaining solutions.
  • Ability to resolve inconsistencies and improvements across standard process workflows. identifies and recommends changes to workflows to address.

  • Ability to receive little instruction on day-to-day work. Proficient at navigating well defined projects with a moderate degree of complexity and ambiguity.
  • Able to take full responsibility for own work, and if appropriate, others. Engaged in goals and outcomes.

  • Demonstrates clear, concise, effective and professional verbal and written communication. Actively communicates with management, leadership team and key stakeholders.
  • Uses appropriate tone, level of detail, and medium.

  • Maintains professional composure and exercises appropriate discretion in all circumstances with regard to materials or information of a confidential nature, respecting Twitter's policies and procedures.
  • Possesses positive, approachable attitude to enable efficient and effective gatekeeping.
  • Ability to establish trust, initiate and develop long-term relationships and networks with key stakeholders, cross functional partners and admins across functions for enhanced connectivity and greater cultural consciousness.
  • Develops a trusted and valued reputation across org & broader key stakeholders to efficiently and effectively resolve diverse requests in limited timeframes.
