The Recepcionist will work closely with the Facilities Manager to support all reception activities.The position will be required to meet the communication needs of Emerson with external public, manage small quantity of calls , focus on customer service to the public, interviewers and staff, control the reception area and dispatch of couriers and support administrative activities of Facilities Department.

He / She will be the first point of contact for external customers and Office Center Administration seeking support and information in these areas.

Responsibilities

Operates a PBX, making and receiving telephone calls, connecting them with the different extensions.

Serves the public that requests information providing guidance.

Record the visits in daily control books.

Receive and direct visitors.

Receive local and international calls from customers and suppliers.

Receive correspondence and messages addressed to the business units.

Record the messages addressed to the different people and sections of the business unit.

Deliver the correspondence received to the different people and sections, as well as the messages received.Complies with the rules and procedures regarding integral security, established by the organization.

Keep in order equipment and work space, reporting any anomaly.

Comply with the entry and exit control requirements as established in the Free Trade Zone Law and in accordance with the internal procedures of the organization.

Make Meeting Rooms Reservation according with the established procedure..

Assists in the elaboration of badges (taking photographs and printing badges).

Send communications related to the reception (all the Site or some business units).

Use different systems to meet the requirements of Trade Compliance screening process.

Administration of office supplies for the Facilities Department.

Collaborates with the Human Resources Department in coordinating candidate interviews.

Work as a contact between the employees and the Facilities Department. Requirements

High school diploma

Technician in Executive Service Center or similar

College degree (on going).

Intermediate English (B1).
